These Terms & Conditions ("Terms") govern access to the website at minutemeetai.com and use of the MinuteMeetAI platform offered by Limtech AI Solutions ("Limtech AI", "we"). Enterprise subscriptions are additionally governed by a separate order form and Data Processing Agreement.
1. Acceptance
By using the website or Service, you agree to these Terms. If you use the Service on behalf of an organisation, you represent that you have authority to bind that organisation.
2. The Service
MinuteMeetAI provides meeting capture, transcription, summarisation, action-item extraction, and related integrations for Microsoft Teams and Microsoft 365 environments. Features may vary by plan, tenant configuration, and region.
We may modify, suspend, or discontinue features with reasonable notice to paying customers where practicable.
3. Accounts and access
- Access is typically via Microsoft Azure AD single sign-on configured by your administrator
- You must keep credentials confidential and notify us of unauthorised access
- Role-based permissions are enforced; you may only access data your organisation permits
4. Customer responsibilities
Your organisation is responsible for:
- Obtaining lawful basis and any required consent for recording meetings
- Configuring retention, redaction, and access policies appropriate to your sector
- Reviewing AI-generated content before distribution — outputs are aids, not professional advice
- Compliance with employment, healthcare, legal, and sector-specific regulations
5. Acceptable use
You must not:
- Use the Service in violation of law or third-party rights
- Attempt to bypass security, probe systems without authorisation, or introduce malware
- Resell or sublicense the Service except as permitted in writing
- Use the Service to build competing datasets or models using our proprietary systems
6. Intellectual property
Limtech AI retains all rights in the platform, software, and branding. Customers retain rights in their content. Subject to the agreement, we receive a limited licence to process customer content solely to provide the Service.
7. Confidentiality and data protection
Processing of personal data is described in our Privacy Policy and, for enterprise customers, the DPA. We do not use customer meeting content to train general-purpose models made available to other customers.
8. Service levels and support
Availability targets and support channels are defined in your order form or implementation plan. Beta or pilot features are provided "as is" without production SLA unless agreed otherwise.
9. Fees
Paid plans are billed per the order form. Fees are exclusive of taxes unless stated. Late payment may result in suspension after notice.
10. Warranties disclaimer
Except as expressly stated in a signed agreement, the Service is provided "as is". We do not warrant uninterrupted operation, perfect transcription accuracy, or fitness for a particular regulated purpose without customer validation.
11. Limitation of liability
To the maximum extent permitted by law, Limtech AI is not liable for indirect, incidental, special, or consequential damages. Our aggregate liability under these Terms is limited to fees paid in the twelve months preceding the claim, except where liability cannot be limited by applicable law.
12. Indemnity
You will indemnify Limtech AI against claims arising from your unlawful use of the Service or violation of these Terms, except where caused by our gross negligence or wilful misconduct.
13. Term and termination
Either party may terminate per the order form. On termination, we will delete or return customer data per the DPA and agreed retention schedule. Provisions that by nature should survive will survive.
14. Governing law
These Terms are governed by the laws of the Netherlands, excluding conflict-of-law rules. Courts in the Netherlands have exclusive jurisdiction, subject to mandatory consumer protections where applicable.
